Introduction
What SealsLog does and how it's structured

SealsLog is a digital security seal tracking platform that replaces paper-based seal logs for freight forwarding operations. Every seal is tracked from the moment it enters stock through to issue, use and return β€” with a permanent, tamper-evident audit trail meeting CAA, TSA, DfT, FAA and EASA requirements.

πŸ“‹ Daily Log

View, create and manage seal records for any date. Real-time updates across all devices.

⚠️ Outstanding

All unreturned seals in one view β€” overdue flagged red, due today flagged amber.

πŸ“¦ Seal Stock

πŸ” Search

πŸ“Š Analytics

Booking Out Seals
Issuing seals to a driver
1

Tap + Book Out Seals

From the Daily Log, tap the orange button. The book-out modal opens.

2

Select the driver

Choose from the dropdown. If the driver isn't listed, go to Admin β†’ Drivers β†’ Add Driver first.

3

Set the date and reason

Date defaults to today. Select the reason for seal issue from the dropdown (e.g. Vehicle Check, Airline Manifest).

4

Choose seals

Tap seal numbers in the picker to select them β€” they turn coral when selected. Use the filter box to search by number. Selected seals appear as chips at the top.

5

Capture driver signature

After confirming, a signature pad appears. The driver signs on screen with their finger or a stylus. Tap Confirm Signature.

6

Print the CAA record

The print preview opens automatically. Print Page 1 (Seal Issue Log) before the vehicle departs. Additional pages print based on the reason selected.

Print pages: Page 1 (SIL0001) always prints. Page 2 (DVC0001 β€” Departing Vehicle Check) prints for vehicle check reasons. Page 3 (AML0001 β€” Airline Manifest) prints for ATF sites only.
⚠️
Outstanding Seals
Monitoring unreturned seals

The Outstanding tab shows all records where seals have not yet been returned. Records are split into two groups:

πŸ”΄ Overdue
Past the return date β€” requires immediate action
🟑 Due Today
Return date is today β€” monitor closely
βœ“ All Clear
No outstanding seals β€” shown when list is empty
Overdue seals are automatically flagged by the system each time the Outstanding page loads. Push notifications fire 60 seconds after login if overdue seals exist (requires notification permission in Profile).

Go to Outstanding or the Daily Log. Expand the record and tap βœ“ Book In.

2

Tap each seal tile to set its status

Each seal is shown as a tile. Tap to cycle through statuses.

3

Confirm the return

Tap Confirm Return. The record closes and returned seals go back to stock immediately.

Tap once to mark returned
βœ“ Returned

! Broken
Tap twice β€” enter reason
Broken seals: Tap a tile twice to flag it as broken. An inline comment box slides in below β€” enter a description of the damage. This is mandatory and is permanently logged.
πŸ”΄
Broken Seals
Reporting and reviewing broken seal incidents

When a seal is flagged as broken during book-in, it is permanently removed from stock and a mandatory comment is recorded. The broken seal report is available in Admin.

1

During book-in

Tap the seal tile twice. It turns red with a ! icon. An inline comment box appears β€” type the reason (e.g. "Found cut on vehicle door"). Tap Confirm Broken.

2

View the broken seals report

Go to Admin β†’ ⚠ Broken Seals. A full report shows all broken seals, their record references, drivers, dates and comments. Printable for CAA audit.

Important: A broken seal comment is mandatory. The system will not allow the book-in to complete without it. Broken seals cannot be returned to stock under any circumstances.
✏️
Amending Records
Correcting closed records with full audit trail

Any closed record can be amended by users with appropriate permissions. All amendments are permanently logged β€” the original is preserved alongside the change.

1

Expand the record

On the Daily Log, click the record card to expand it.

2

Tap ✎ Amend

The Amend button sits in the actions row alongside Book In, Print and Audit.

3

Make your changes

You can change the driver name (with a mandatory reason) or add an amendment note. All changes require a written explanation.

Audit trail: Amendments appear in the Audit Log with the original values, new values, reason, timestamp and the username of the person who made the change.
πŸ“¦
Seal Stock
Registering and managing seal boxes
1

Register a new box

Go to Seal Stock β†’ + Register New Box. Enter the seal range (From / To) and quantity. The system auto-generates a Box ID (e.g. SWTSP-20260906-001).

2

Print the label

A Zebra label ticket (100Γ—75mm) with QR code appears automatically. Print it and attach to the physical box. The QR code links to the box's live stock status.

3

Monitor stock levels

The stock table shows all boxes with remaining counts. Click any row to expand and see individual seal status β€” green (in stock), yellow (issued), red (broken), grey (used).

Shared pools: Some sites share a common seal pool (e.g. SETSP and ATF share the London pool). Stock is counted and displayed as combined for those sites.
Large boxes: Registering boxes with 500+ seals takes a few seconds. A progress bar is shown β€” do not close the window until complete.
